General Duties
1. Have a thorough knowledge of internal policies and procedures
2. Abide by internal rules and regulations on grooming and appearance
3. Report to duty on time as scheduled
4. Assist Manager in conducting weekly briefings and monthly meeting with employees
5. Maintain the highest standards of personal hygiene
6. Assure proper communication and coordination with the cashier, dispatching and delivery
7. Assure proper communication and coordination with the kitchen at all time
8. Participate in training sessions as scheduled by the management
9. Possess thorough knowledge of menu items, cooking methods, and ingredients
10. Report to duty on time as scheduled
11. Perform any other duties as assigned by management
Administrative Duties
1. Coordinate with Manager on employee absence and record the same on employee attendance sheets
2. Ensure the integrity of the Punching system
3. Maintain updated and current employee files
4. Follow up on sick leaves and ensure communication reports with the company doctor
5. Follow up on annual leaves based on the plan set with the Outlets Manager
6. Fill out annual leaves, recap, sick leaves, etc... as needed
7. Follow up and coordinate with the Outlets Manager on medical tests for food service employees as required by the law
8. Coordinate with Outlets Manager and General Manager on the employee training plan and ensure record keeping
9. Develop periodic reports and analysis as per SOPs and as instructed by Manager
10. Ensure that employees abide by disciplinary procedures
11. Ensure the opening set up is according to internal standards
12. Ensure cleanliness and neatness is according to the internal standards in the service and the back of the house area
13. Perform daily maintenance check on the property and report any malfunctioning to the Manager
14. Provide coaching and follow-up for new recruits
Operations Related Duties
1. Follow-up on customer orders and ensures all orders are presented in accordance with internal standards
2. Assist and witness the end of shift closing procedures in coordination with the Cashier/Operator
3. Make sure cashiering procedures are being implemented, and address discrepancies (where needed)
4. Supervise and control customer billing and monetary issues Delivery Related Duties
1. Assist the delivery team were needed during rush hours
2. Organize and run a delivery team of operator, dispatch, and delivery boys.
3. Make sure deliveries are made on time
4. Ensure dispatch route settlement
5. Supervise courtesy calls to confirm with the customer the delivery date, address, and product being delivered or installed.
6. Maintain the conditions & cleanliness of bikes
7. Maintain a daily record of delivery times and locations; company cell phones are in use and properly maintained
Customer Related Duties
1. Greets all customers politely as they call or as they approach according to standards
2. Responsible for collecting customer feedback and database development
3. Make sure all guests are pleased with the service and food items
4. Ensures an excellent customer service
5. Handles guest complaints and special requests, or transmit them to the manager immediately
6. Calls or approach customers to collect feedback
7. Collect comment card feedbacks and report them to the manager. Ensure actions are being taken accordingly
8. Calls delivery sleeping customers to collect feedback
Accounting & Purchasing Duties
1. Coordinate with the Cost Controller (outsourced function) during his visit to the outlets and submit requested documents
2. Place Purchase orders with suppliers as per internal requisitions from the team
3. Maintain good relation with suppliers at all times; communicate any issues to the outlets' manager
4. Fill out any returns to suppliers, where needed, and follow up on corrections to invoices or second deliveries with suppliers
5. Enter suppliers invoices on the accounting system and follow up on any discrepancies and file the invoices
6. Remind concerned parties about changes for passwords for computers and the system in a timely manner
7. Coordinate with the IT function on access control for cashiers on the system and maintain updated records
8. Maintain proper filing as per internal policies and as instructed by accounting function
9. Record all expenses invoices into the system and file the invoices accordingly
10. Enter received goods into the Materials control system in a timely manner
11. Enter transfers between departments into the stock system
12. Report any divergence from min-max stock levels to the Outlets Manager
13.Enter production sheets, waste/spoilage reports, and breakage report into the system in a timely manner
14. Enter employee meals on the system daily
15. Assist the Outlets Manager with the end of month inventory for all stores
16. Enter the end of month inventory on the system and withdraw variance report for justification
