Document controller

Job Purpose:
Responsible for proper monitoring of all project related documents while ensuring that all procedures, method statements, and various submittals have been updated accordingly and undergone internal review and all are approved for implementation and use.

Duties & Responsibilities:
• Management and organization of Operations integrity management system related documents;
• Management and updating SLA documents and other operational requirement documents;
• Providing support to SHE Management and Supervisor in the form of documentation and monitoring of on-site SHE Requirements.
• Act as an Administrator (Project Cycle) till the completion stage;
• Coordinates and execute policies regarding Document management System.
• Supervising Document Controllers in the site for all document controlling matters;
• Responsible for all Documents and Administrative Works needed to process with timeframe;
• Coordinates and give assistance to all activities related to Document Control procedure within the department;
• Maintaining project correspondence (hard copies/digital copies) which can be stored / retrieved / archived / indexed efficiently.
• Maintaining an organized system for locating documents, adhere to security and confidentiality guidelines.
• Provide administrative support to the QHSE Team
• Controlling the document and data movements by establishing, implementing, maintaining and updating the document procedure with to the company requirements and the client’s necessities.
• Act as a focal point in terms of procedure, analysing, preparing ISO Standards documentation
• Duties will include liaising with other senior members of staff and performing a range of diverse administrative activities for the department as well as creating, composing and editing technical administrative correspondences and documentation.
• Responsible for Control/Track/Issue of complete project documentation such as incoming and outgoing correspondence, site instruction, change orders, shop drawings.
• Coordination between other Consultants & Contractors for facilitating documents workflow and ensure documents status to be closed.
• Controlling the document and data movements by establishing, implementing, maintaining and updating the document procedure with to the company requirements and the client’s necessities.

Desired profile:
The candidate must have:
•Bachelor’s Degree or Equivalent;

The candidate would be at an advantage if they have:
• Professional qualification or completed courses relevant to HSE.
• A minimum 3 years’ experience in Facilities Management Company in terms of Document Control.
• Excellent interpersonal skills- proficient communication skills, both written and verbal with demonstrated ability with confidence, interact with management, employees and subordinate staff.
• Must demonstrate professionalism and respect when interacting with others.
• Excellent customer service oriented skills to effectively communicate and develop strong relationship with Senior Management and Operational staff within our customer / client and organization including ability to demonstrate high levels of service competence & delivery and prepare effective and exception basis reports for management.
