The Facilities Maintenance Operations Supervisor shall be responsible for Quality Assurance and Quality Control of all Outsourced Contractors. He shall be Focal Point of Contact for all Field Activities in relation to Outsourced Services. The position holder shall ensure that:

• Service Providers are following ANREI PPM Task Sheets
• Service Providers are complying with laid down SLAs and KPIs
• All tasks are duly completed at the specified time
• Unfinished/Incomplete Tasks are duly followed up and completed
• Out of scope works are properly recorded and executed
• All rectification works are completed in time by Service Providers and accurate record of replaced items is maintained in proper register
• All Service Reports are duly checked and verified at site
• NCRs are issued to Contractors for non-compliance and followed-up thru for CAR and closing
• Performance Evaluation of sub-contracted works is carried out periodically by conducting Site Audits and Condition Surveys
• Liaise with Procurement Team for arranging out-of-scope materials by raising PRs and follow up till issuance of LPO, delivery to the site.
• Liaise with PPM Coordinator in certifying the Service Provider’s Invoices for releasing due payments
• Support FM Zone In-Charge in updating the status of ongoing contracts and related issues
Key Accountability Areas
• Monitor, and control monthly PPM schedules for all facilities to ensure that all the necessary measures are taken in order to achieve best results.
• Ensure proper tracking is maintained for the PPM schedules and work orders received and ensure PPM scheduling is done and being carried out as per the schedules.
• Prepare Monthly Reports compiling the PPM schedules and WO status related to all Statutory and Outsourced maintenance activities for the facilities.
• To follow up Work Orders daily to ensure that all the WO’s have been attended to, executed, and closed upon completion.
• Ensure that all Specialist Systems including but not limited to Fire Suppression, Fire Alarm, Elevators, Escalators, Water Tanks, Gas Tanks, Pools & Water Features, Standby Generators etc. are operational and complying with Statutory and Regulatory Requirements.
• Monitor the Budgets in the facilities for each outsourced contract and to ensure proper control of the Budget.
• Coordination and follow up with Procurement team for all PRs raised and ensure that all materials are received in time and as per the specifications.
• Close out all PO’s by doing necessary SE/GRN and ensure that all activities are tracked and recorded.
• Ensure Service Provider’s adherence to quality standards and health and safety regulations.
• Ensure proper record of Statutory Compliance Tests is maintained for all facilities.
• Conduct Technical Audits, Performance Audits and Site Walk-Thru and issue the NCRs to sub-contractors for non-compliance to standards and regulations.
• Establish priorities, goals, and expectations to prepare action strategies and plans to accomplish same working with team.
• Maintain routine records and prepare reports.
• Attend coordination meetings and communicate with all stakeholders.
• Step in for other maintenance workers as needed in urgent circumstances.
• Any other ad hoc administrative duty assigned by the Line Manager or Head of the Department.

Education & Qualifications
• Associate degree in Engineering, preferably in Fire Safety Systems or equivalent technical training is required. Bachelor’s degree (highly advantageous). Valid UAE driver’s license
• Proven experience as maintenance supervisor or similar role
• Strong technical knowledge of FF/FA Systems
• Knowledge of health & safety practices and regulations
• Understanding of budgeting and performance management
• Excellent planning and leadership abilities
• An eye for detail
• Computer savvy
• Excellent communication and interpersonal skills


Experience
• Minimum 8-10 years in similar Supervisory position under Facilities Management environment with an emphasis on Statutory Maintenance Requirements
• Experience in maintenance practices of residential, commercial and industrial buildings

Knowledge & Skills
• Direct Experience in Statutory Compliance Maintenance Requirements Such as Fire Fighting Systems, Fire Alarm System, Facility Audits etc.
• Experience in troubleshooting of Fire Fighting / Fire Alarm Systems, Electric / Diesel Pumps, Control Panels and End-Devices.
• Experience in handling Contractual Matters, Dispute Resolutions and Work Certifications.
• Skills in the proper use of test equipment, hand and power tools, diagnosing and trouble-shooting equipment malfunctions and systems failures are required.
• Must be able to read and interpret blueprints, schematics, and wiring diagrams.
• Supervisory skills and administrative ability are highly required.
• Excellent analytical, numerical and problem-solving skills.
• Leadership skills, decision making, planning and organizing skills and communication skills.
• Strong customer service skills and the ability to manage situations promptly and professionally, meeting commitments for service and assistance.
• Able to maintain effective communication at all times.
• Contributes to building a positive team spirit and puts success of team above own interests
• Computer skills (Microsoft office, CAFM).
