An opportunity is available for an experienced FM Administrator - Office Supplies to join the team within the business operations department. The successful candidate must have excellent written and verbal communication skills, together with intermediate - advance level of FM experience. Excellent time management skills are essential in order to prioritise your workload to ensure a high standard of deliver to both stake holders and employees at all times. We would highly appreciate if you could only apply for the role in case your experience matches the roles and responsibilities listed below. Please note FM/ Vendor Sourcing experience is mandatory and so is the roles and responsibilities.
Mailing Room
Mailing room is responsible for the receipt and delivery of all incoming mail
The incoming mail includes correspondence from Government Departments, utility agencies, contractors, consultants, others etc.
Receipt and distribution of the postal mail received at the post box which includes official and personal mail.
Distribution of the HR letters to Aldar staff.
Distribution of official mail to the staff located in the HQ.
Distribution of newspaper, magazines and other periodicals.
The 3 drivers working with the mailing room are responsible for the distribution of external mail to all other offices like, Yas Mall, WTC Mall, site offices, sales center, subsidiary s offices, Government departments, agencies etc.
On a daily average we receive more than 100 incoming mails delivered directly to the mailing room.
On a daily average there are more than 150 outgoing mail on any given day.
The couriers (Fedex, UPS, Aramex etc) deliver on an average 25 to 30 consignments daily.
Drivers
There are currently 8 drivers working in HQ.
3 drivers report to the Mailing Room
The others work with the other business units within Aldar.
Responsible for the review of the contract, issuance of the PO for the service provider.
Approval of the monthly invoices, after review.
Rented Cars
Rented cars are provided to the drivers working in HQ, PR staff and the Government Relations staff.
Responsible for the review of the contract, issuance of the PO for the service provider.
Approval of the monthly invoices, after review.
Maintaining records of the rented vehicles.
Review of the invoices related to traffic fines and coordination with the Finance and HR for the collection of the same from the staff.
Review of the Salik invoices to ensure the trips are business related.
FM Services
Supervision of the FM team for the tenant areas at the Aldar HQ.
Facility maintenance in the tenant areas of the HQ.
The tenant areas are the stores located in the Basements, the Data Center in Basement 3, the 9th and 10th floors in HQ etc.
Monitoring of the BMS systems
Emergency attention to the Data Center and other critical areas in case of power shutdown or any other emergencies.
Maintaining the contract for the maintenance of plants in the offices.
Quarterly pest control services
Services like preventive maintenance of the systems.
Carpet shampooing and maintenance.
Checking and refilling of the First Aid Boxes
Routine maintenance of the fire fighting equipment.S
Remote Offices
The Sales Center and the Customer Service Center located at the Yas Links, Al Mamsha, The Bridges and the Dubai Sales Center.
Provision of the support staff (office boys and cleaners)
Routine maintenance of the facilities including electrical, air conditioning, MEP facilities.
Maintenance of the landscaping facilities.
Attention to the repairs of the MEP, HVAC, Electrical, Fire fighting etc in case of breakdown.
Getting quotations from suppliers for the services, review and requesting for the POs in the ERP system.
Providing the best available support for the customers.
Maintaining the services at the cafeteria which caters to the needs of Aldar s guests
Timely review of the services, negotiating the contracts for best services.
Review and payment approval for the below:
Catering provider
Soft services providers
Maintenance contractor
Repair and maintenance contractor
Printed stationeries
The printed stationeries are Aldar letterheads, envelopes of different sizes, bags, voucher books etc.
Ensure the steady supply of the printed stationeries in Aldar s offices at all times.
Checking the stock and placing the orders on time to avoid any disruption in the services.
Corporate stamps requests.
Kitchen consumables
Provision of the kitchen consumables for all Aldar s offices that are under GSD which is Aldar HQ, Sales Center and Customer service in Yas Links, Al Falah site office etc.
Ensure the steady supply of consumables for catering to the staff and Aldar s guests.
Ensure the materials are purchase before they run out of stock.
Provision of coffee machines in Aldar s offices.
Timely order of the consumables to be used in the machines.
GSD provides more than 20 varieties of hot beverages to its staff and guests.
Provision of drinking water to all Aldar offices, placing orders with Agthia for the prompt supply of water.
Cleaning equipment
Provision of the cleaning equipment and materials for use in Aldar s offices.
Office stationeries
Purchase, storage and distribution of all the stationeries required for the office.
Ensuring every staff receives the stationery that is required to support their work at Aldar.
Maintaining the stock at all times and timely placement of order to replenish the stock.
We maintain a stock of more than 50 stationery items.
Access Control & CCTV
Supervision of the access control systems.
Ensure the continuous services of the Access Control and CCTV systems at all times without fail.
Ensuring the security at the office premises by closely monitoring the CCTV systems.
Generate reports for the Management in case of any incidents.
Support services
Support services for organizing the GSD events.
Support for the events organized by the marketing by providing security, valet parking, service staff, flowers, gifts, give awas etc.
Support for the exhibitions like Cityscape
Support for the sales events
Others
Housekeeping and hospitality staff
The supervisor and the rest of the hospitality and housekeeping staff report to me.
Maintaining the hygiene of the office premises at all times.
Providing good hospitality to Aldar s guests
Storage
Agility store
Yas Mall Stores
Managing the asset, regular inspection of store & checking the existing Items & implementation of required processes.
maintain the accountability while receiving and releasing of assets,
Responding to inquiry to end users
Control Loading in/out with email confirmation

RELATED YEARS OF EXPERIENCE
Min of: 6 years of related experience in office/general administration assistance / Facilities Management
Prior experience in real estate industry is preferred
TECHNICAL AND INTERPERSONAL SKILLS
• Strong computer skills
• Professional attitude and dynamic nature.
• Strong communication and interpersonal skills
• Great understanding of policies, procedures & work methods
• Team player and flexible
• Demonstrated skills in building and maintaining strong relationships with internal and external stakeholders
• Excellent organization skills
• Strong vendor sourcing experience within UAE.
QUALIFICATION
Bachelors degree in any related field.
