Drafts routine memos following guidelines from superior. Types letters, minutes of meetings and other correspondences, as required.
Receives records and files incoming documents, mail and other communications addressed to staff of Department. Records and dispatches office documents as per approved office procedures and practices.
Schedules, records and monitors appointments, meetings and other events as required by superior or Department staff.
Follows up on routine and/or special reports as well as other activities, as required.
Takes stenographic notes and transcribes them, as required.
Manage executive director calendar and meeting scheduling
Registration of events and manage scheduling meetings for department team when attending events
Manage travel operation with tawasol and other concerned parties
Manage issuing related POs to registrations and travel, as needed.
Manage creation of users and security permissions within salesforce CRM
Provide induction on system usage for new users, when needed.
Ensures confidentiality of office files, records, documents and databases handled.
Provide assistance to the team to create customized reports
Answers, screens and transfers telephone/ web/email enquiries calls to the concerned staff.
