We are looking for an HR & Admin Officer to join our team and support with our Human Resources department by providing day-to-day administrative support in the implementation of human resource policies and procedures, ultimately ensuring smooth office operations in our fast-paced agency setting.
The HR & Admin Officer responsibilities will include processing employee data, updating company policies and assisting in the hiring process. To be successful in this role, you should have solid organizational skills and be familiar with HR functions.
Ultimately, you will make sure all HR operations run smoothly.
The Responsibilities:
Maintaining physical and digital personnel records
Updating database with different information such as hires, terminations, sick leaves, warnings, vacation, and days off
Creating and distributing guidelines and FAQ documents about company policies
Assisting in drafting and finalizing various HR documents relating to company employee induction and conduct codes
Gathering payroll data like bank accounts and working days
Drafting, publishing, and following up on job ads
Scheduling job interviews and contacting potential candidates as needed
Preparing reports and presentations on HR-related metrics
Responding to employees questions about benefits and day to day concerns
Overseeing administrative tasks as per legal, fiscal, and statutory requirements
Helping in payroll management, preparation, and payment
Acquiring and maintaining proper records of office furnishing, equipment and supplies, and other operational matters
Establishing appropriate filing and information flow systems including filing of MOUs and vendor contracts
Coordinating and providing administrative support for all company related meetings
Performing reception duties, addressing all general inquiries, and attending to office security matters
Preparing internal event schedules and coordinating activities
Helping in organizing and managing new employee orientation, on-boarding, and training programs
The Ideal Candidate:
Ha minimum 5 years demonstrated experience as an HR & Admin Officer, HR Administrative Assistant, or similar role
Is familiar with Human Resources Information Systems (HRIS)
Has knowledge of labor legislation, NSSF, and taxation laws in Lebanon
Is excellent with MS Office suite, particularly Excel and PowerPoint
Is great with people from different cultural backgrounds and has good verbal and written communication skills
Holds a BSc in Human Resources Management or relevant field
Is fluent in spoken and written English and Arabic
Is flexible, resourceful, and able to perform despite tight schedule
Is a high-level individual who is independent, proactive, with a good attitude and mind-set
Must take initiative to complete tasks assigned
Has a strong stakeholder focus and service-oriented attitude
Is highly ethical and with a strong commitment to confidentiality and best practice
