Your day to day
FINANCIAL RETURNS Perform tasks as directed by the Manager in pursuit of the achievement of business goals Handle general inquiries including but not limited to salary certificates, certifications of employment, ticket booking, vacations, etc PEOPLE Familiarize yourself with the IHG HR and Training Standards, localizing where necessary Prepare the monthly Birthday list, and Birthday cards, and coordinate HOD Birthday events Arrange appointments and meetings Understand the responsibilities of other units and departments and co-operate with them Access and use work processing computer packages Assist in developing work practices that are in line with health and safety policies Support the goal of providing work like balance for colleagues by taking part in the social committeeEnsure clear lines of communication exist to disseminate information affecting employer-employee relations, employee activities, and hotel policies and programs Ensure all staff facilities are maintained in good order and meet the hotel's cleanliness standards Deal with all problems relating to individuals in an understanding, caring and confidential manner Comply with Hotel Rules and Regulations and provisions contained in the Employment Handbook Comply with Company Grooming Standards Comply with Time and Attendance Policies Demonstrate understanding and awareness of all policies and procedures relating to Health, Hygiene and Fire Life Safety Familiarize yourself with emergency and evacuation procedures Ensure all security incidents, accidents and near misses are always logged in a timely manner and brought to the attention of the Line Manager Comply with the Company's Corporate Code of Conduct Familiarize yourself with the company values and model desired behaviors Actively participate in training and development programs and maximize opportunities for self-development Assists Training Manager or designate in the following tasks: Issue invitations to attend internal and external programs Maintain records of training attendance Implement Orientation Promote and facilitate cross-training Administering the IHG Recognition Program Assist in administrative duties of the Training department GUEST EXPERIENCE Demonstrate service attributes in accordance with industry expectations and company standards including: Being attentive to Guests Accurately and promptly fulfilling Guests requests Anticipate Guests needs Maintain a high level of knowledge which affects the Guest experience Demonstrating a 'service' attitude Taking appropriate action to resolve guest complaints Appreciate the dynamic nature of the Hotel industry and extend this service attributes to all internal customers RESPONSIBLE BUSINESS Maintain the general filing system and ensure proper database management Prepare files, reports, correspondence, and other relevant business documentation Assists in the processing of monthly attendance and monthly overtime Maintain confidentiality at all times on all matters Demonstrate essential overall knowledge of the organization Support and maintain and update employee records, legal documents, and other personnel matters, efficiently and confidentially Ensure applicable laws, regulations, IHG policies and procedures, and union agreements are followed in relation to Grievance and Disciplinary procedures. Consults with department heads on appropriate actions and recommends to management final action to be taken Assist in maintaining and creating a positive atmosphere within the hotel that allows for open two way communication that ensures morale and productivity reaches the highest possible levels.
What we need from you
Preferably with a University degree At least two years in an administration capacity Excellent English skill, both oral and written Proficient in computer operations (Word, Excel, and PowerPoint) Knowledge of basic accounting is desirable Presentable and a team player
