Responsible to ensure that all HR administration and payroll activities which include storing and processing personnel data/ documentation, facility management, JAFZA and other legislative requirements are handled efficiently and timely.
Areas of responsibility
Provide complete administrative support to the HR function.
Prepare official letters/ notes, personnel documents, records for all employees driven via the HRMS system
Maintain organized filing and retrieval system of personnel records, files, government related documents etc.
Ensure effective data management process is in place, regularly update HRMS with latest data e.g. leave balance, authority matrix etc.
Time and attendance management
Process payroll of employees based in the UAE, Jordan, Kuwait and KSA, on time.
HRMS expert user.
Process visa application, labor card, health card etc for new joiners as well as renewal of the same for existing employees, on time.
Liaise efficiently with JAFZA officials and other outside agencies as and when required.
Ensure compliance by all employees to HR policies/ JAFZA rules/ labor laws of the country as applicable, guide employees accordingly.
Ensure timely maintenance of statutory compliance like renewal of trade license, lease/ tenancy contract and Dubai chamber of commerce registration etc. as appropriate.
Ensure maintenance and renovation of office facility, including Office Maintenance (Pest Control/Garden services/ building maintenance/ Fire , Labour Camp management)
Updating administration SharePoint regularly.
