الأدوار والمسؤوليات
Provide comprehensive administrative and executive support to the senior management team, ensuring smooth day-to-day operations, effective coordination of tasks, and compliance with company policies and legal requirements.
Duties and Responsibilities:
Oversee recruitment activities, including conducting interviews, managing onboarding
processes, and handling employee documentation.
Responsible for the renewal of licenses, including the trade license, car registration, and
office Ejari, as well as ensuring the yearly employees renewal of insurance.
Manage visa processes by coordinating employment visa applications, liaising with PRO
for visa-related matters, and assisting in top managers’ family visa applications for travel.
Handle financial responsibilities, including processing monthly billing payments for
utilities. Payments for consultants and managing petty cash.
Manage calendar, agendas, travel plans, and appointments for upper management
Directors.
Handle extensive flight reservations for executives, ensuring timely and cost-effective bookings, and providing support for any changes or special requests related to top managers' travel plans.
Handle various personal tasks assigned by the Co-Founder. Additionally, conduct research tasks as needed to support the organization's objectives.
Purchase and maintain inventory of office equipment and stationery, administer
maintenance contracts of office equipment and facilities, and purchase pantry supplies.
Oversee property management services, including maintenance of building and ordering
proper janitorial supplies.
Coordinate with the Finance department on budgeting and cost-saving activities.
Perform other ad-hoc duties and miscellaneous tasks as assigned by the Co-Founder and senior members of the company.
Ensure accurate and organized record-keeping within the organization, including overseeing the creation, fi ling, and maintenance of documents, ensuring compliance with established documentation standards.

Mandatory Requirements: ⬛ Female candidates only ⬛ Start date subject to discussion. ⬛ Bachelor’s degree holder. ⬛ Minimum 4–5 years of experience in Administration and Executive Assistance. ⬛ Must already be based in Dubai.
Desired Skills: ● Excellent organizational and time management skills ● Strong communication and coordination abilities ● Attention to detail and problem-solving skills ● Profi ciency in MS Offi ce and standard offi ce equipment ● Experience or familiarity with AI tools and technologies is a plus
