How to Confirm an Interview via an Email?

A long wait after submitting a job application can be endless and intimidating. Communicating with the company in the right way can differentiate you from your competition. As soon as you receive the interview intimation, it is important to confirm the interview in a professional way, via an interview confirmation email or a confirmation letter for the interview from your end. However, the usual practice followed by the companies these days is receiving an interview confirmation email.

So, while you are waiting for a phone call for the interview, check your email inbox and the spam folder regularly. It is a good practice to confirm at least 2 - 3 business days before your scheduled interview. Here are some tips on how to confirm an interview appointment by email.

 

Be Prompt

Always respond to an interview request the same or the next day. Keep a tab on your email and voicemail, and prepare yourself to succeed in the interview.

 

Structure Your Interview Confirmation Email

‎✔  The subject line should communicate your message clearly. Mention the date and time in the subject line or a reference to the job title. Do not leave it blank.

‎✔  Address the interviewer or recruiter by his/her full name and thank him/her for the opportunity offered. Mention that you look forward to the interview.

‎✔  Confirm the time, date and location of the interview.

‎✔  Use a readable font, such as Arial or Times New Roman, at least 10 font size and mention your complete name, address, email ID and phone number.

‎✔  Express your gratitude again and end the email with a complimentary closing, such as ‘Sincerely’ followed by a comma.

‎✔  Keep your message brief and precise.

‎✔  Always call or contact your recruiter if you have any urgent question.

‎✔  Always proofread before sending the interview confirmation email.

Don’ts’

‎✔  Do not use greetings like ‘Hello’ or ‘How are you?’

‎✔  Do not use capital letters in the email, as it is considered as shouting in electronic communications.

‎✔  Do not include attachments in your email unless specifically asked for.

‎✔  Do not use abbreviations, emoticons, fancy fonts, backgrounds or images in the email.
