The R&D Coordinator provides administrative and operational support to the Research and Development (R&D) team by coordinating purchasing, supplier management, and documentation activities. The role ensures that all procurement-related processes align with approved project plans, study protocols, pricing structures, and regulatory requirements. Acting as a key liaison between suppliers and internal stakeholders, the R&D Coordinator supports timely material availability, cost control, and accurate recordkeeping for R&D projects.

  • Support the day-to-day administrative operations of the R&D team and act as the main point of contact for purchasing-related activities.

  • Coordinate procurement activities in line with approved research programs, product plans, and purchasing policies.

  • Prepare, issue, and follow up on purchase enquiries, purchase orders, and supplier confirmations.

  • Review Proforma Invoices to verify pricing, item descriptions, terms, and conditions against previous records before obtaining approvals.

  • Maintain accurate purchasing records, supplier price lists, costing files, and related documentation.

  • Monitor supplier performance, delivery schedules, and order accuracy to ensure timely and compliant deliveries.

  • Coordinate with shipping and logistics teams to ensure adherence to shipping dates, documentation requirements, and quality standards.

  • Obtain, verify, and file shipping documents, test certificates, and compliance documents from suppliers.

  • Maintain and update vendor databases, preferred supplier lists, and item master records in all relevant systems.

  • Track receipts, resolve discrepancies, and address receiving or data entry errors in purchasing systems.

  • Assist in market research, pricing analysis, and vendor evaluations to support R&D initiatives.

  • Coordinate Product Change Notifications and ensure documentation is current and compliant.

  • Ensure Receiving Standard Operating Procedures (SOPs) are up to date and followed according to compliance requirements.

  • Develop and maintain strong working relationships with suppliers to resolve delivery, quality, or documentation issues.

  • Provide non-inventory purchasing support in accordance with established company guidelines and procedures.

  • Assist the R&D Manager with assigned projects and perform additional duties as directed by the Department Line Manager.

  • Exhibits 2+ years of experience in an R&D role, with a proven track record of successful project execution in the Chinese market.

  • Demonstrates a deep understanding of the Chinese business landscape, including cultural nuances and regulatory environments.

  • Demonstrates great interpersonal skills. Oral and written communication skills (English)
