The Inventory Controller / Storekeeper & Procurement Officer is responsible for managing inventory levels, store operations, and procurement activities to ensure the timely availability of materials, accurate stock records, cost-effective purchasing, and smooth operational continuity. The role combines inventory control, storekeeping, and procurement coordination while ensuring compliance with company policies and procedures.
Key Responsibilities
Inventory Management
- Receive, inspect, and record incoming materials, supplies, and equipment
- Issue inventory based on approved requests and project or operational needs
- Maintain accurate stock records using manual logs and/or inventory management systems
- Conduct regular stock counts (daily, weekly, monthly) and reconcile discrepancies
- Monitor stock levels and identify reordering requirements to avoid shortages or overstocking
- Apply inventory control methods such as FIFO or FEFO as applicable
Store Operations
- Organize and maintain the store/warehouse in a safe, clean, and efficient manner
- Label, categorize, and arrange items for easy identification and traceability
- Ensure proper storage and handling to prevent damage, loss, or deterioration
- Safeguard inventory against theft, misuse, or unauthorized access
Procurement & Purchasing
- Raise purchase requisitions based on stock levels, consumption trends, and operational needs
- Source suppliers, request quotations, and conduct basic price and quality comparisons
- Prepare purchase orders in accordance with company procurement policies
- Coordinate with suppliers on order confirmations, delivery schedules, and documentation
- Follow up on outstanding orders to ensure timely delivery of materials
- Verify delivered items against purchase orders and delivery notes
Documentation & Reporting
- Maintain up-to-date inventory records, bin cards, purchase records, and supplier files
- Prepare inventory reports, procurement summaries, and stock movement reports
- Track consumption trends and support budgeting and forecasting activities
- Assist in internal and external audits by providing accurate documentation
Compliance & Safety
- Ensure adherence to company procurement, inventory, and financial control procedures
- Comply with health, safety, and security regulations within the store and warehouse
- Report damaged, expired, obsolete, or non-conforming items promptly
Coordination & Support
- Coordinate with operations, finance, procurement, and logistics teams
- Support material planning and operational scheduling
- Perform other related duties as assigned by management
Qualifications & Requirements
- High school diploma or equivalent (diploma or certificate in logistics, procurement, or supply chain is an advantage)
- Proven experience in inventory control, storekeeping, and procurement
- Basic computer skills (MS Excel, inventory systems, ERP software preferred)
- Knowledge of basic procurement and purchasing processes
- Ability to work independently and handle multiple responsibilities

- Possesses a high school diploma or equivalent, with a preference for a degree or certification in supply chain management or a related field.
- Demonstrates proficiency in inventory management software (e.g., SAP, Oracle, NetSuite) and Microsoft Excel for data analysis and reporting.
- Requires a minimum of 3-5 years of experience in inventory control or storekeeping, with a proven track record of accuracy and efficiency.
- Exhibits a strong understanding of inventory principles, including FIFO/FEFO, cycle counting, and inventory optimization techniques.
