  • Assist Procurement Engineer for Expediting Matters

  • Attend kick-off meetings for all orders placed under the full responsibility of Project Procurement Engineer unless specifically assigned by Procurement Manager

  • Apply expediting procedures as per main contract and procedures.

  • Ensure the delivery of the material in full compliance with the agreement and project’s requirements (i.e. schedule requirements, contractual deliveries etc.).

  • Ensure communication and exchange of all related documentation between involved parties. Monitor distribution of Vendor’s deliverables to all relevant internal stakeholders and vice versa and follows up their expediting and timely submission.

  • Ensuring Vendor meets the Quality Assurance and Control requirements of this Project.

  • Ensuring Vendor gives adequate notification for pre-inspection/pre-manufacturing meetings (PIM)

  • Arranging and coordination of pre-inspection/pre-manufacturing meetings (PIM) including required PIM package documentation

  • Arranging of inspection on receipt of Materials prior to taking into stock

  • Supply the assigned inspectors with Purchase Orders and relevant technical enclosures.

  • Check all inspector reports or field expeditor reports and coordinate inspections as per agreement requirements

  • Report to Project Procurement Manager any critical issue prior to receiving the official reports in order to shorten the time to undertake the correct decisions.

  • Deal with the Procurement Officers for the minor Purchase Orders follow-up

  • Prepare expediting reports as per main contract.

  • Coordination with Logistics section when delivery terms are fulfilled as per agreement and follow up until delivery at site.

  • The Expeditor shall be responsible for the expediting of all Goods, Equipment & materials, including all related Vendor documentation & other deliverables, as required for the Project. This includes submission of monthly progress reports issued by Vendors to company via letter by EPC CONTRACTOR.

  • Preparing the Field expediting plan shall be prepared including the details of vendor visits, Third party inspection details and FAT plans as applicable.

  • Expedit all the replacement Goods and associated documents which is the subject of guarantee or insurance claims. Such expediting shall be performed as necessary for the duration of Contract.

  • Maintain an up-to-date Material status report in the form of a purchase order register which shall include the following details as a minimum but not limited to:

    a) MR Number.

    b) Brief Description of Material.

    c) Date of issue of MR.

    d) Date of Floating the Enquiry.

    e) Date of submission of technical bid Evaluation.

    f) Date of receipt of Company Approval.

    g) Date of Purchase order.

    h) Name of Vendor.

    i) FAT approval.

    j) Release for shipment.

    k) Date of Receipt of Material.

  • Bachelor’s degree in Engineering Supply Chain Business or a related field.

  • Typically, 12–15 years expediting experience in EPC projects with at least 2–3 years in a lead or supervisory role.

  • Experience with ADNOC, Qatar Petroleum or PDO.

  • Strong knowledge of mechanical electrical instrumentation and structural equipment manufacturing.

  • Experience with ERP systems such as SAP Oracle or Infor.

  • Strong understanding of end to end EPC procurement and fabrication workflows.

  • Strong leadership communication and negotiation skills.

  • Ability to read technical drawings and understand complex manufacturing processes.

  • Strong analytical thinking problem solving and decision making.

  • High level of organization and ability to manage multiple priorities.

  • Confidence in dealing with senior vendor representatives and internal stakeholders.


Roles & Responsibilities:

The Lead Expeditor is responsible for overseeing all expediting activities across the project and ensuring that materials, equipment, and vendor documentation are delivered according to schedule. This role provides direction to expeditors, coordinates with vendors and internal teams, and acts as the main point of escalation for delays or critical procurement issues. The Lead Expeditor ensures the overall expediting strategy supports the project’s execution plan and drives on time delivery for all major packages.


Leadership and Oversight:

  • Supervise and guide expeditors assigned to the project ensuring consistent and effective follow up on all Purchase Orders.

  • Review expediting plans progress reports and recovery actions prepared by the team.

  • Act as the escalation point for critical delays issues or vendor nonperformance.

  • Coordinate closely with the Project Procurement Manager to align expediting priorities with project milestones.

Vendor Progress and PO Management:

  • Monitor progress of long lead and critical equipment packages.

  • Secure updated fabrication schedules production curves and delivery forecasts from suppliers.

  • Hold regular meetings with vendors to review progress identify risks and agree on recovery measures.

  • Drive early intervention actions when slippages are identified.

Vendor Documentation Control:

  • Oversee the tracking of all vendor documentation and ensure timely submission and approval cycles.

  • Coordinate with Engineering Document Control and QA/QC to resolve bottlenecks or overdue reviews.

  • Ensure that document progress aligns with manufacturing readiness and inspection requirements.

Cross Functional Coordination:

  • Work closely with Engineering QA/QC Logistics Planning and Construction teams to maintain alignment on delivery priorities.

  • Support Logistics with packing lists shipping notices readiness for dispatch and customs documentation.

  • Provide project teams with accurate updated and realistic delivery forecasts.

Reporting and Governance:

  • Prepare consolidated weekly and monthly expediting reports for management.

  • Verify accuracy of expediting data in tracking tools dashboards and ERP systems.

  • Lead vendor progress review meetings and present status updates to the project leadership team.

  • Maintain full visibility and documentation of all communications progress updates risks and recovery actions.

Vendor Visits and Inspections:

  • Conduct or lead shop visits for major or high-risk packages to confirm fabrication progress.

  • Coordinate with QA/QC for inspection readiness FAT scheduling and closure of quality documents.

  • Provide detailed visit reports highlighting risks issues and required corrective actions.

Compliance and Vendor Performance:

  • Ensure all vendor activities meet PO terms specifications and quality requirements.

  • Support resolution of NCRs deviations and delays that affect the project.

  • Contribute to the vendor performance evaluation process with accurate feedback on delivery documentation and responsiveness.

Desired Candidate Profile:
