Job Description
We are seeking a proactive and well-organized Administrative Assistant to support day-to-day office operations and ensure smooth workflow across departments. The ideal candidate should have strong communication skills, the ability to multitask, and a professional approach to internal and external stakeholders.
Key Roles & Responsibilities
Administrative Support
- Manage daily office operations and provide administrative support to the management team.
- Maintain and update records, files, and documentation in an organized manner.
- Handle incoming and outgoing emails, calls, and correspondence.
- Prepare reports, meeting minutes, memos, and other required documents.
- Assist in scheduling appointments, meetings, and coordinating calendars.
Office Coordination
- Ensure office supplies, stationery, and equipment are adequately stocked.
- Coordinate with vendors, service providers, and maintenance personnel as needed.
- Support the team in organizing internal events, meetings, and logistics.
Documentation & Filing
- Maintain confidential documents, staff records, and filing systems.
- Assist in preparing contracts, agreements, and other administrative paperwork.
- Ensure timely filing and proper documentation as per company procedures.
Communication & Customer Service
- Serve as the first point of contact for visitors and guests.
- Handle inquiries professionally and direct them to the appropriate departments.
- Provide support to internal employees with administrative needs.
HR & Operational Support (as assigned)
- Assist in onboarding processes and coordination with HR.
- Track attendance, leave records, and update HR on documentation (if assigned).
- Support operations team with coordination tasks when required.
الملف الشخصي المطلوب للمرشحين
Arab nationality.
Bachelor’s degree or diploma in Business Administration or related field.
1–2 years of experience in administrative or office support roles.
Strong communication skills in Arabic and English.
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
Excellent organizational and multitasking skills.
Professional attitude, discretion, and attention to detail.
Ability to work independently and handle confidential information.
