We are seeking a highly organized, dependable, and detail-oriented Administrative Assistant to join our expanding remote operations team. This role is essential in supporting administrative workflows and operational processes across regional teams serving the MENA region, including the UAE, Qatar, and Saudi Arabia.

As a Remote Administrative Assistant, you will contribute to daily operational efficiency by maintaining organized records, updating tracking systems, monitoring workflow progress, and ensuring documentation standards are consistently upheld. Your work will help create clarity, reduce inefficiencies, and ensure that information remains accurate and accessible.

No extensive prior experience is required. This is a true entry-level role with structured onboarding and training. Success depends on attention to detail, consistency, accountability, and clear written communication.

Key Responsibilities Administrative Data Management & Record Keeping

Responsibilities include:

  • Updating and maintaining spreadsheets using Google Sheets or Microsoft Excel
  • Reviewing data for accuracy, completeness, and formatting consistency
  • Standardizing records (names, contact details, regional tags, notes)
  • Identifying duplicates, inconsistencies, or missing information
  • Flagging unclear data for follow-up
  • Maintaining organized file structures and naming conventions
  • Supporting reporting with well-structured datasets
  • Logging updates and corrections for tracking purposes

Task & Administrative Workflow Coordination

Responsibilities include:

  • Reviewing and categorizing incoming administrative requests
  • Routing tasks to appropriate team members
  • Tracking progress from assignment to completion
  • Following up on delayed or incomplete tasks
  • Maintaining clear status updates and documentation
  • Communicating when clarification or missing information is needed
Tracking Systems, Logs & Reporting

Responsibilities include:

  • Updating trackers for completed, pending, and ongoing work
  • Logging daily activities, updates, and issues
  • Preparing brief progress summaries
  • Monitoring recurring data or workflow issues
  • Escalating patterns that impact efficiency
  • Supporting internal reporting with organized documentation
Scheduling & Coordination Support

Tasks may include:

  • Confirming team availability
  • Updating calendars as instructed
  • Sending reminders for deadlines and action items
  • Tracking onboarding progress and checklist completion
  • Supporting coordination to ensure no steps are missed
Quality Assurance & Documentation Standards

Responsibilities include:

  • Reviewing work for accuracy and compliance before submission
  • Maintaining standardized file organization and naming systems
  • Ensuring documents are easy to access and properly stored
  • Supporting updates to internal documentation when needed
  • Following Standard Operating Procedures (SOPs) consistently
