As a Remote Administrative Assistant, you will help streamline daily business operations by maintaining organized records, updating internal trackers, monitoring workflow progress, and ensuring documentation standards are consistently met.


Key Responsibilities

Administrative Data Management & Record Keeping

  • Maintain and update spreadsheets and internal databases (Google Sheets / Microsoft Excel)
  • Ensure data accuracy, completeness, and formatting consistency
  • Standardize records (names, emails, phone numbers, regional identifiers)
  • Identify duplicates, inconsistencies, and missing information
  • Flag unclear data for follow-up
  • Maintain structured file naming conventions and organized folders
  • Support internal reporting with clean, reliable datasets
  • Track and log updates and corrections

Task & Administrative Request Coordination

  • Review and categorize incoming administrative requests
  • Assign or route tasks to appropriate team members
  • Track progress from assignment to completion
  • Follow up on overdue or incomplete tasks
  • Maintain clear documentation of task status
  • Communicate effectively when clarification is needed

Tracking Systems, Logs & Reporting

  • Update operational trackers (completed, pending, in-progress tasks)
  • Log daily activities, updates, and issues
  • Prepare brief progress summaries
  • Monitor recurring data issues or workflow gaps
  • Escalate inefficiencies when identified
  • Support reporting with organized documentation

Scheduling & Coordination Support

  • Confirm team availability when needed
  • Update calendars based on instructions
  • Send reminders for deadlines and milestones
  • Track onboarding progress and checklist completion
  • Support coordination to prevent missed steps

Quality Assurance & Documentation Standards

  • Review work for accuracy and formatting consistency
  • Maintain standardized folder structures and naming conventions
  • Ensure documents are accessible and well-organized
  • Support updates to process documentation
  • Follow SOPs (Standard Operating Procedures) closely

Required Qualifications

  • Basic experience with Google Sheets or Microsoft Excel
  • Strong written communication skills
  • Ability to follow written instructions carefully
  • Detail-oriented and highly organized
  • Comfortable with repetitive administrative tasks
  • Ability to work independently in a remote setting
  • Reliable internet connection and suitable computer

Note: No prior professional experience required. Training and onboarding support will be provided.
