The CEO Office Manager will oversee and coordinate all activities of the CEO s office, ensuring smooth operations, effective communication, and timely execution of priorities. This role requires exceptional organizational skills, discretion, and the ability to manage multiple tasks in a fast-paced environment while acting as the primary point of contact between the CEO and internal/external stakeholders.

Responsibilities:

1. Executive Support

  • Manage the CEO s calendar, schedule meetings, and coordinate appointments.
  • Screen and prioritize incoming requests, emails, and correspondence for the CEO s attention.
  • Prepare briefing materials, reports, and presentations for the CEO.
  • Track follow-up actions from meetings and ensure timely completion.

2. Office Operations

  • Oversee daily operations of the CEO s office to ensure efficiency and organization.
  • Maintain confidential records, files, and sensitive information.
  • Coordinate travel arrangements, itineraries, and related logistics for the CEO.

3. Communication & Coordination

  • Serve as the primary liaison between the CEO and senior management, employees, clients, and partners.
  • Draft and review correspondence, reports, and official documents on behalf of the CEO.
  • Facilitate effective information flow between the CEO s office and other departments.

4. Strategic & Administrative Support

  • Assist in monitoring strategic initiatives and projects led by the CEO.
  • Conduct research, collect data, and provide analytical support for decision-making.
  • Coordinate special projects and high-level meetings, including Board meetings

5. Personal and Professional Work Management

  • Manage the CEO s personal and professional tasks, ensuring seamless integration of work and personal life.
  • Handle personal appointments, errands, and other personal matters as required.
  • Ensure the CEO s personal and professional commitments are balanced and aligned with their priorities.
  • Maintain the highest level of discretion and confidentiality in handling sensitive personal matters.

6. Additional Responsibilities

  • Oversee personal correspondence and communications on behalf of the CEO.
  • Arrange personal events, such as family gatherings or social engagements, as needed.
  • Manage personal expenses, invoices, and financial records with accuracy and confidentiality.

  • Bachelor s degree in business administration, Management, or related field (master s degree preferred).
  • Minimum of 7 10 years experience in executive support or office management, preferably in a corporate or multinational environment.
  • Strong organizational, problem-solving, and multitasking skills.
  • Excellent verbal and written communication skills in English
  • Proficiency in Microsoft Office Suite and related productivity tools.
  • High level of discretion, professionalism, and integrity.
