POSITION OVERVIEW

The Post Fixture Operator is responsible for executing and supporting all activities after a fixture is concluded. This includes coordination with charterers, agents, vessels, and internal stakeholders to ensure smooth voyage execution, compliance with charter party terms, timely documentation, and prompt resolution of operational and financial matters.

KEY RESPONSIBILITIES

Vessel Operations – Commercial

• Liaise with charterers to arrange and communicate voyage orders, ports of call, bunker supply, vessel sailing and proceeding instructions, and berthing prospects.
• Collect stowage plans from vessels, coordinate approvals with superintendents and charterers, and confirm loadable quantities to vessels.
• Arrange and dispatch Letters of Indemnity (LOIs) required for cargo discharge.
• Monitor vessel status through regular follow-up with port agents.
• Prepare all voyage-related invoices, including:
  Freight invoices
  Laytime calculations
  Demurrage claims
  AWRP invoices
  Bunker and port cost invoices
• Follow up on receivables with charterers to ensure timely payments for freight, hire, demurrage, and other charges.

Agency Coordination

• Obtain and negotiate Proforma Disbursement Accounts (PDAs) to secure competitive terms.
• Confirm appointment of port agents and issue necessary instructions.
• Follow up to collect Final Disbursement Accounts (DAs), review accuracy, and submit for approval.
• Maintain updated records of PDAs and DAs, ensuring timely settlements.
• Coordinate the appointment of armed guards for High-Risk Area transits as needed.

Cargo Documentation & Records

• Ensure prompt receipt of cargo loading and discharge documents from vessels.
• Maintain organized electronic and physical records of all cargo documentation in line with company policies.
• Follow up with agents and vendors to collect statements of account and close outstanding invoices.
• Update provisional expense statements and receivables reports regularly.
