Provide administrative support to healthcare professionals, ensuring that all documentation and records are properly maintained and compliant with clinical governance standards.
Assist in managing patient appointments and ensure timely and efficient processing of patient information, including maintaining confidentiality at all times.
Ensure that patient registration processes are aligned with UNSOS clinical governance and data protection protocols.
Liaise with clinical staff to ensure accurate scheduling and effective communication regarding patient care and clinic operations.
Support clinical staff with the preparation of documents, reports, and data collection related to patient care activities.
Greet patients and visitors in a professional and courteous manner, ensuring a welcoming environment while adhering to safety protocols.
Maintain patient records and appointment schedules, ensuring accuracy and compliance with UNSOS standards for quality and safety.
Assist in monitoring clinic facilities for cleanliness and safety, ensuring adherence to infection control and safety regulations.
Assist with maintaining the inventory of office supplies and medical forms, ensuring that necessary materials are available and compliant with safety standards.
Coordinate with healthcare teams to ensure that patient records are updated accurately and promptly, reducing the risk of errors in care delivery.
Participate in team meetings and contribute to discussions on improving administrative and clinical processes for enhanced patient care and service delivery.
Help identify areas for improvement in front-desk operations, patient flow, and documentation practices, and provide feedback for continuous quality improvement initiatives.
Support the implementation of quality improvement measures aimed at enhancing patient satisfaction, operational efficiency, and overall service quality.
Collaborate with healthcare staff and administrators to streamline processes, ensuring a smooth experience for patients and visitors.
Collect and report data related to administrative operations and patient services to help assess and improve the quality of care and administrative workflows.
Ensure that all administrative practices comply with relevant clinical guidelines, healthcare regulations, and patient care standards set by UNSOS and international bodies.
Assist with the documentation of patient information, ensuring that it adheres to evidence-based standards for confidentiality, accuracy, and quality.
Stay informed on updated protocols and best practices in administrative functions, ensuring compliance with the latest evidence-based policies and practices.
Support the training of new administrative staff in proper procedures, including patient handling, confidentiality, and documentation standards.
Assist in audits or reviews of administrative procedures and processes to ensure compliance with UNSOS s policies and relevant health regulations.
Promote ethical behaviour and alignment with Aspen Medical s Social Purpose and B Corp principles.
Perform any additional tasks and responsibilities as required by the role or organisation.

A minimum of a high school diploma, with 3 years of clerical, secretarial, or office experience.
Proficient computer skills, including Microsoft Office.
English proficiency- a minimum of Level B 2 is required.
Experience in international, humanitarian, or conflict-zone healthcare settings.
Experience working in an international or multicultural environment.
Knowledge of health and safety regulations in a healthcare setting.
Fluency in English; knowledge of other languages is a plus.
Ability to handle sensitive and confidential information with discretion and professionalism.
Strong attention to detail, with an ability to maintain accuracy in administrative tasks.
Shifts: Flexible working hours, with the expectation to work weekends, holidays, and night shifts when required 24/7.
Location: The role is based in Somalia within the UNSOS mission area.
Physical Requirements: Ability to perform physically demanding tasks, such as standing for extended periods in high stress conditions and managing physically intensive situations.
