The incumbent is responsible for carrying out the administrative duties, providing administrative support and maintaining the operations data. Accountabilities: Create and maintain the documentation and take care of the arrangements required for permits to work, clean, and collect waste from different places in AD Lot 1 scope. Prepare the Monthly Manpower list, as per the work plan and provide to Coordinators at the beginning of the month. Prepare & upload the overtime planning data at the beginning of each month. Upload actual overtime data to the OT portal at the end of each month. Submit the OT data (both plan and actual) to the HR department for validation and records. Maintain the daily attendance of the entire operations team and ensure current and past data are available all the time in records. Maintain the shift Schedules of operations employees in the attendance system. Submit the Monthly attendance to the HR department for payroll processing, after obtaining necessary approvals. Create purchase requests (PR) and service requests for materials and services required for operations and create goods received notes (GRN) after receiving the requested items, in the SAP system. Prepare the Leave Request, Passport release, Rejoining, Resignation, and Clearance form etc. for Labours, Team Leaders & Drivers etc. and submit to HR after approval from the Operations Manager. Maintain employee master data for all operation staff and update employee movement on daily basis (New Joiner, Resignation, Termination etc.) Prepare disciplinary action request forms and submit them to HR after approval of Operations Manager. Coordinate and ensure timely completion of the performance evaluation process of all workmen working under the operations department. Schedule and arrange for meetings as advised by the Operations Manager and Prepare Minutes of Meetings. Preparing daily/weekly/monthly reports related to operations as required by the Operations Manager. Preparing the operations related reports for submitting to Tadweer – AD, as advised by the Operations Manager. Maintaining and archiving files related to Operations. Receive the Traffic fines & accident deductions data from the Fleet team and submit it to HR/Finance for salary deductions after getting required approvals and maintain the records. Assisting the operations supervisors in Attendance & leave Management in the attendance system & SAP. Health & Safety Ensure compliance with relevant laws and safeguard their own safety and health, as well as that of anyone who may be affected by their actions or omissions at work. Refrain from being under the influence of any intoxicating substances to the point where they pose a risk to themselves or others while on the job. Ensure compliance with the company’s Health & Safety policy & procedures. Provide cooperation to the company’s practices regarding safety, health, and welfare at work. Not to engage in any improper conduct that could endanger his / her own safety and health or that of anyone else. Participate in HSE training offered by the company. Make proper use of all machinery, tools, substances, etc. and PPEs provided for use at work. Promptly notify the immediate supervisor/manager/HSE representatives of any near-miss incidents, accidents, work-related injuries, or potential safety hazards, such as defects in tools or equipment, that may endanger the safety and health of individuals at the workplace. Be familiar with the work site emergency and evacuation procedures and evacuation routes. Communication and working relationships Internal Operations Manager. All Operations Coordinators & Supervisors. All Internal Department staff. External Only if advised by the Operations Manager.

Qualification & Experience Bachelor’s Degree / Diploma in any discipline. Certification / Diploma in office administration will be an added advantage. Fresh graduate / 1 – 3 years of experience as Administrator / Document controller / Secretarial role. Waste Management / Facilities Management Industry experience will be an added advantage. Knowledge & Skills MS-Office (Word, Excel & PPT). SAP (Procurement, Finance Module). Good oral and written Communication skills in English. Knowledge of Arabic will be a plus. Knowledge of Hindi / Urdu will be a plus. Administrative Skills. Letter writing skills. Archiving of documents. Willingness to interact with workers & drivers.
