The office Administrator will provide administrative, sales and marketing support to all Cengage staff based in the Middle East.

What you'll do here:

  • Handling AXS Government Portal for; new employee or renewal Visa s applications, non-sponsored ID Card applications, commercial license renewals, Establishment card renewals, Salary letter requests, PO box renewal and top up requests, Submitting monthly transactions.
  • Coordinate medical testing, Emirates ID processing, visa stamping, renewals, and cancellations
  • Communicating along with Senior Sales Manager of GCC, for building management lease renewals, parking renewals and any other negotiations required.
  • Renewing Dubai Custom Trade for all tax declarations for all shipments and renewing commercial license.
  • Supplier registration/PO and invoice processing for customers payment.

Sales and Marketing

  • Provide assistance in organisation and attendance of local conferences.
  • Act as the Marketing interface facilitating Distributor access to up-to-date materials
  • Respond to Distributor product queries and requests
  • Preparation of sales tools and helping with the production of PowerPoint slides.
  • Research projects into products, price and competitors for Publishing and Marketing
  • Manage UAE Office inventory and communicate with the US Inventory Team to ensure UAE Office has enough sampling materials
  • Assisting with the production of marketing collateral and other sales and communication tools
  • Ensuring strong brand presence at industry events
  • Assisting the Sales Teams in the following tasks
  • Putting together and/or checking ISBN lists and price lists
  • Extracting accurate ISBN information through NGL website and Cengage internal systems
  • Work with the Sales Team during student onboarding period to fill out/transfer student/instructor data for onboarding onto Cengage digital platforms
  • Connect with the distribution partner to collect data needed to complete student/instructor onboarding

Pantry/office supplies

  • Maintain the supplies in pantry such as water, coffee, tea, snacks, cleaning materials, etc.
  • Liaise with cleaning company for arrangement of cleaning timings within the week.
  • Liaise with Plants Maintenance company for all watering, plants care, plants replacement.
  • Liaise with any maintenance if lightings need to be replaced.
  • Receive courier deliveries at office and collect mail from post box.

Logistics

  • Submit invoices or statements to EMEA.AP and process in Catalyst.
  • Point of Contact for issues or requirements from FedEx.
  • Assist with sending courier duties and sampling textbooks.
  • Ordering supplies (e.g., boxes, envelopes, labels, etc.)
  • Arranging pick up through local FedEx if the shipments were initiated from UK office.

Finance

  • Submit all invoices from Vendor that are registered individually to EMEA.AP.
  • Complete Vendor Approval forms for any new Vendors or amendments by collaborating closely with the vendor and finance.
  • Request for Certificate of Good Standing for commercial license renewal.

Telecommunications

  • Liaise with DU (or appointed telecommunications provider) Agent for all issues and concerns as well as other orders.
  • Submit invoice to EMEA.AP monthly and supervise to avoid delays.
  • Process renewals, cancellations, orders and requests.

Human Resources

  • Arrange or stamp letter request for tender and travel visa application for all divisions.
  • Collaborating closely with local insurance company if needed.
  • Assist with staff onboarding and offboarding processes

Skills you will need here:

  • Minimum of 3 years office administrative experience within the UAE
  • Understanding of UAE right to work applications and renewals processes.
  • Able to optimally and expertly communicate both verbally and in written English.
  • Knowledge of MS Office Applications such as Word, Excel, PowerPoint, Outlook, Teams.
